Zeno Guest Pass makes non-employee travel simpler

Arranging travel for contractors, candidates, consultants and other guests can involve more admin than it should. Zeno's new Guest Pass gives guests the flexibility to book their own travel, while keeping their trip within your organisation's existing travel programme.

You might need to fly a candidate in for an interview, arrange accommodation for a contractor, or organise travel for a consultant, speaker or other guest. But when that person isn't set up as a traveller within your organisation, arranging their trip can mean emails back and forth to collect details and preferences, followed by someone internally making the booking on their behalf.

Guest Pass is designed to make that process easier.

Introducing Guest Pass

Self-service travel for every guest

Guest Pass is a free self-service feature within Zeno that allows travel arrangers to invite non-employees to book their own travel, without needing to onboard them into the organisation's internal systems.

The travel arranger sets up the trip and sends the guest a personalised invitation. From there, the guest can securely log in and choose their travel within the parameters set by the travel arranger and within the organisations travel policy.

Less back-and-forth for your travel arrangers. More flexibility for your guests. Your travel programme stays in control.

From invitation to booking in four simple steps

The travel arranger starts the process in Zeno, then the guest takes it from there.

  • 1

    Set up the trip

Your travel arranger creates a Guest Pass invitation in Zeno and selects the travel components required, such as flights, accommodation and car hire.

    • 2

      Invite your guest

The guest receives a personalised email invitation with a validation code, giving them secure access to Guest Pass.

      • 3

        Let them choose

The guest validates their traveller details and makes their selections from the travel options provided. They can deselect components they don't require, but can't add travel outside those provided by the arranger.

        • 4

          Keep it managed

The booking stays within your organisation's existing Zeno environment and travel parameters. Payment follows your organisation's existing configuration, so guests don't need to pay upfront and seek reimbursement afterwards.

Their profile is also stored for future use, making the process easier if they travel with your organisation again.

          Who it's for

Guest Pass is designed for non-employees and occasional travellers who need to travel on behalf of your organisation, without requiring the same setup as a regular corporate traveller.

Contractors and consultants: Keep project travel within your managed programme without setting up a full internal user.

Candidates: Give prospective employees more choice over travel for interviews and other in-person meetings.

Board members and external guests: Make it easier to arrange occasional travel without managing every preference on their behalf.

Speakers and event guests: Provide a straightforward booking experience while retaining control over the travel being arranged.

More flexibility, without giving up control

          For the guest

it means greater input into their journey, without needing to learn a corporate booking system or organise payment themselves.

          For the travel arranger

It can mean less time collecting traveller information, coordinating preferences and making bookings on someone else's behalf.

          For the organisation

The important controls remain in place. Guests choose from the travel options made available to them rather than booking independently outside your managed travel programme.

          Available at no additional cost

Guest Pass is available within Zeno at no additional cost to your organisation.

If your organisation uses Zeno through Tandem Travel and you'd like to start using Guest Pass, contact your Tandem Account Manager to discuss activation.
